How to release 360 feedback records, track released records, and view released records.

When a user provides 360 feedback on an employee, the completed feedback is delivered to the assessed individual’s manager unless the feedback was self-requested. Visit this article to learn more about 360 feedback visibility.

However, manager-level users and above have the option to release specific feedback records for the employee to review within the 360 Feedback application.

How to Release 360 Degree Feedback:

1. To release feedback to an employee, navigate to any of the completed views available in the 360 feedback application. In the upper left corner of the application you will see the option to toggle between Internal Feedback, External Feedback, or All Feedback. These options may vary depending on your account settings.

2. In the Internal Feedback and External Feedback views, you will navigate to the employee you wish to release feedback to and click the 3-dot menu next to this employee’s name. If you are in the All Feedback view, you can skip to step #5 in this process.

3. Next, select “View Individual Responses” from the options provided. This will open a view of all completed 360 records for this specific employee.

4. Before releasing the feedback, you will need to check 2 columns in the table:

  • Requested By: If the feedback was self-requested (initiated by the employee), the option to release/unrelease feedback is unavailable to manager level users and above. Employees already have visibility over feedback they request themselves.

  • Released Date: If there is already a date present in this column, you will not have the option to release the feedback since it is already visible to the employee. In this case you will see an unrelease option, which is discussed later on in this article.

In the example above, Sam Little is the employee and Jason Beake is his manager.

  • Jason will not have the option to release the first 2 records listed in this view. The “Requested By” column shows that Sam self-requested this feedback and already has visibility.

  • Jason will not have the option to release the 3rd record listed in this view. The “Released Date” column shows this record was previously released to Sam on April 9th. However, Jason will be able to unrelease this feedback if needed.

  • Jason will have the option to release the 4th record listed in this view. This was not self-requested by Sam and the table indicates it has not yet been released.

5. Once you have identified the record you wish to release, click the three-dot menu next to the record and select “Release Feedback” from the options.

Important Note: A pop-up will appear asking if you would like to release the feedback anonymously or named. You will then click “Confirm Release.” If feedback was originally provided anonymously, managers will not see a checkbox option on this pop-up. The feedback will be shared anonymously by default, reflecting its original anonymous submission.

After releasing the feedback, you'll have the option to "unrelease" the record if needed. Simply click the three-dot menu and select the "Unrelease Feedback" option.


Tracking Released 360 Degree Feedback:

To conveniently track released feedback, simply refer to the “Released Date” and "Employee View" columns in the table view.

  • Release Date will show the date in which the feedback was made visible to the employee.

  • Employee View will show three different options depending on if the feedback has been released.

    • None indicates that the employee does not have visibility of the feedback at this time.

    • Anonymous indicates that the employee has visibility of the feedback but is not able to see the name of the person who provided the feedback.

    • Named indicates that the employee has visibility of the feedback and the name of the person who provided the feedback.


Viewing Released Feedback

After feedback is released to an employee, they can find it in the "Completed Feedbacks" section of the 360 application. It's important to note that if the user has multiple views due to their user level, they need to be in the "Me" context to view feedback about themselves.

In the Completed Feedbacks section, they can view the feedback by clicking the three-dot menu and selecting the “View Feedback” option.
