Managing Check-in Due Dates & Frequencies

When assigning or updating a check-in, you have the ability to set a due date and frequency for the check-in to be completed. This feature allows managers and higher-level users the flexibility to drive initial completion and adjust due dates for ongoing check-ins as needed.

Setting Check-in Frequency and Due Dates

Setting a Check-in Frequency

During the process of creating a check-in template or establishing a singular check-in, you can select from several frequency options. This choice determines the cadence at which the employee should complete the check-in process.

Important Notes on Frequency Options:

  • Once: Select this for a non-recurring check-in that requires a due date. For example, your organization might use a mid-year check-in template that differs from the regular recurring check-in. This option allows you to set a due date without establishing a recurring frequency, while still enabling a reminder to trigger based on the due date set.

  • None: Choose this frequency if you don't want any automated reminders sent and don't wish to set a recurring frequency.

Setting a Due Date

For all frequencies except "None," you must set a desired due date for the check-in to be completed.

Due date reminders will be sent based on the employee's associated due date and the reminder frequency selected. For more information on reminders for check-ins, please refer to this article.

Once an employee completes their check-in, the due date will automatically update depending on the established frequency. Subsequent due dates are calculated based on the last check-in date and frequency. See the example below for additional clarification:

Example: Carlos has been assigned a check-in with a monthly frequency and due date of July 30th.

  • Scenario 1: Carlos completes his check-in early, on July 20th. The system will set his next due date for August 20th.

  • Scenario 2: Carlos completes his check-in on time, on July 30th. The system will set his next due date for August 30th.


Reviewing Set Check-in Frequencies and Due Dates

The check-in frequency and due date are displayed in the check-ins table within the application. This feature allows manager-level users and above to quickly view this data for employee check-ins.

Key points to note:

  • The check-ins table provides an at-a-glance view of the frequency and due date for each check-in.

  • This information is readily accessible to managers and higher-level users, facilitating easy monitoring of check-in schedules.

  • The due date field automatically updates to reflect subsequent due dates as the employee completes check-ins based on the set frequency.

This automatic update feature ensures that the due dates remain current and aligned with the established check-in frequency, without requiring manual adjustments after each completion.


Updating Check-in Due Date & Frequency

Once a check-in is in progress, you may need to adjust the user's due date and/or frequency. You can do this in two ways:

  1. Edit a singular check-in

  2. Use the bulk operations tool for multiple check-ins

Edit a Singular Check-in's Frequency and/or Due Date

  • Click the three-dot menu beside the employee's name within the check-in application.

  • Select "Edit Check-in Form."

  • On the next screen, adjust the frequency and/or due date as needed. Click "Save" to apply your changes.

Using Bulk Operations to Update Multiple Check-ins

To update the due date and/or frequency for multiple check-ins at once, use the bulk operations tool.
