What is the Partner Role?

The Partner role enables companies to provide a user with nearly all Super user privileges while simultaneously restricting their access to a specific cohort(s) of employees within the organization. While an employee's manager focuses on day-to-day responsibilities and workload, organizations may have another advisor responsible for overseeing your overall progress as an employee. This role is commonly referred to as an HR Business Partner.

Partner Access in WorkDove

The access of a Partner will cascade down the reporting structure of the group beginning with the top level individual they are assigned to. If Amy is the Partner to Sam, then Amy will also have full access to Sam and Sam’s direct report’s records and cascading reports.

Here is a diagram of how the assignment and cascading group works:

Navigating WorkDove as a Partner

When a Partner user wants to manage their segment of employees in the system, they do so by navigating to the “My Group” dashboard. The Partner has the ability to add, edit, or delete employee records for their group. It is possible for a user to be a Partner for a group while still being a Manager for a team. To access their direct reports on their team, they must switch back to the "My Team" dashboard.

Assigning the Partner Role

There are two ways to assign a Partner within WorkDove:

1. Granting Partner Access Through the Employee Profile: Users can be upgraded to a Partner-level user through the drop-down menu within the employee profile. You will select the Partner role and save the profile to make this change.

Once a Partner is created, this user will be available as an option in the Partner field dropdown for any other user in WorkDove. For example, if you want to assign Amy as a partner to Carlos, you can do this by selecting Amy’s name in the dropdown menu in the “Select Partner(s)” field inside of Carlos' employee profile. This means that Amy will now have access to Carlos’ and his downline within WorkDove.

2. Granting Partner Access Through Group Assignment: You can also assign a Partner to a Group. This method allows you to grant a Partner access to multiple individuals at once. To learn more about creating Groups, visit this article.

Once your Group is created, Admins and Super Users can assign a Partner to the Group through the “Partner” page.

From this page there are two views, Collapsed Partner and Expanded Partner. The Expanded Partner view will show all users assigned to an individual Partner and their associated Group. The Collapsed Partner view shows any user assigned the Partner role and allows you quickly assign and unassign Groups to that Partner.

To assign a Group to this Partner, click the three-dot menu beside the Partner’s name and select “Assign Groups.” On the next screen, you will see any Group this Partner is eligible to be assigned to. Please keep in mind that Partners cannot be assigned to Groups in which they are members.

To remove an assigned Partner from a Group, you can utilize the “Unassign Groups” button from the three-dot menu. Unassigning a Partner does not delete the Group.
