Learn how to create, assign, and edit Performance Review templates

Updated over a month ago

Performance Review templates can typically be created by account admins or super users. In some cases, depending on your account settings, managers may also have the ability to create templates. It's important for your organization to define who is responsible for template creation and communicate this role clearly to the relevant stakeholders.

Creating Performance Review Templates

To create a Performance Review template, navigate to Templates > Performance Review. Click the green plus sign, located in the upper right of the templates page.

There are several fields available to fill out within a Performance Review template.

  • Title: Provide a name for your template. This field is required.

  • Position, Department, Location: These are optional fields that serve as labels but do not restrict assigning the template to users outside the selected criteria.

  • Performance Objectives: Select the performance objective and its weight. For more information about weighing, visit this article. To add additional objectives to the template, click the teal plus sign. To remove an objective, click the minus sign. There is a limit of 20 objectives per template.

    • Note: Not all organizations utilize objectives, so this section may not be present depending on your account settings.

  • Core Values: Select a Core Value and assign a weight. To add additional values to the template, click the teal plus sign. To remove a value, click the minus sign. There is a limit of 20 values per template. At least one Core Value must be included in the template to save the review.

    • Note: As the title is customizable, it may have a different name (e.g., Workplace Behaviors/Competencies).

  • Questions (Optional): Up to 10 questions can be added to the review. These questions will appear under the Summary tab in the review and can only be answered by the employee when completing their self-assessment.

    • Note: This section is optional and does not need to be included in the review.

Important Note: Performance Reviews can also be created without templates. For additional guidance and options on creating Performance Reviews and determining the appropriate content to include, please refer to this link.

Assigning Performance Review Templates

To assign a Performance Review template:

  1. Navigate to Template > Performance Review via the left navigation menu.

  2. Click the three-dot menu next to the desired template and select Assign Performance Review Template.

In the Performance Review Template tab, complete the following fields:

  • Year, Cycle, and Due Date(s): Select the year, review cycle, and due date(s) to associate with this review assignment.

  • Notifications: Choose whether to notify employees, managers, or both by selecting the appropriate checkboxes. Notifications trigger an email informing users that a new review has been created.

In the People tab:

  • Select the employees to assign the review. The total number of selected users will appear in the bottom right corner. Once all fields are complete and employees are selected, click Assign. For help using the people selector, click here.

Important note: If the selected Year and Review Cycle match an existing review for an employee, a pop-up will notify you of the potential duplicate. Duplicate reviews will not be assigned, but reviews for non-duplicate employees will still be created.

Editing Performance Review templates

To edit a Performance Review Template:

  1. Navigate to Templates >Performance Review via the left navigation menu

  2. Click the three-dot menu next to the desired template.

  3. Select Edit Performance Review Template.

  4. Make the necessary changes.

  5. Click Save to confirm your changes.

Important Note: Edits to a Performance Review template do not automatically apply to previously assigned reviews. Changes will only take effect for future reviews assigned using the updated template.

If adjustments are needed for reviews already in progress, these must be made at the individual review level, or the reviews will need to be removed and reassigned. For assistance with this process, please contact WorkDove Support or your Customer Success Manager.
